Overview

New users who register for Auction Excellence start in a pending state — they can accept invitations to join existing auctions but cannot create auctions until a super admin approves their account. Once approved, a user receives an email notification and can create auctions up to their assigned limit.
Only super admins can access the User Access page. If you need to approve a user and don’t see this page in your sidebar, contact your organization’s super admin.

Accessing the User Access Page

Navigate to User Access in the sidebar (visible to super admins only). The direct URL is /admin/users. You’ll see a badge on the sidebar item showing the count of users pending approval.

Understanding the User Table

The user table shows all registered accounts and their current permissions:

Status Reference

Use the filter bar above the table to narrow results:
  • Status filter — show only Pending, Approved, or Revoked users
  • Search — find users by name or email address
Click any sortable column header (User, Registered, Status) to sort the table.

Approving a User

When a user registers, a notification email is sent to all super admins. To approve them:

Find the user

Locate the user in the table. Pending users show a yellow Pending badge. You can filter by Pending to see only unapproved accounts.

Click Approve

Click the Approve button on the user’s row. The Approve dialog opens.

Set the auction limit

The default limit is 1. Adjust it if you want to grant the user permission to own more auctions.

Confirm

Click Save to apply the change. The user’s status changes to Approved and they receive an approval email.
After approval, the user sees a welcome banner on their Auctions page with a direct link to create their first auction.

Setting a Custom Limit

The default auction creation limit is 1. You can raise this for power users or organizational accounts:

Find the approved user

Locate the user with Approved status in the table.

Click Edit

Click the Edit button on their row to open the permission dialog.

Update the limit

Change the Auction Limit field to the desired number and click Save.
Changing the limit does not affect auctions already created. If a user has already created 2 auctions and you lower their limit to 1, their existing auctions remain intact — they just cannot create additional ones.

Revoking Access

Revoking a user’s permission prevents them from creating new auctions but does not delete their existing data:

Find the approved user

Locate the user with Approved status.

Click Revoke

Click the Revoke button on their row and confirm.
After revocation:
  • The user’s status changes to Revoked
  • The Create Auction button is hidden from their interface
  • Existing auctions and data are preserved
  • They can still accept invitations to join other auctions
To re-grant access, click Re-approve on a revoked user’s row and set a new limit.

What Users See

Pending users

Unapproved users see a yellow banner on their Auctions page:
Your account is pending approval — A super admin needs to verify your account before you can create auctions. You can still accept invitations to join existing auctions in the meantime.
The Create Auction button is hidden entirely. Users can still accept invitations and participate in existing auctions.

Newly approved users (no auctions yet)

After a super admin approves their account, users see a green banner:
Your account has been approved! — You can create up to auction(s). Click below to get started.
This welcome banner disappears automatically once they create their first auction.
