Overview

The Jobs Matrix lets you define the jobs and abilities your team performs, then assign them to individual team members. This provides a clear picture of who can do what across your operation. Both the Members and Roster tables display a Jobs column showing each person’s assigned jobs as badges. For members with many assignments, the first two jobs are shown inline with a +N more badge that opens a full list. The Jobs Matrix tab on the Members page provides a cross-reference grid of all members vs all jobs at a glance.

Key Concepts

Jobs and Abilities

A job represents a role or task performed at your auction (e.g., “CR Writer”, “Stock-In Clerk”, “Detailer”). Each job can optionally have an activity rate — the number of cars one person can process per hour — used for staffing calculations. An ability represents a specific skill or specialization within a job (e.g., “Lease”, “Consignment”, “Mechanical”). Abilities are linked to jobs to describe what a person is qualified to do within that job.

System vs Custom

Both jobs and abilities follow the same global-plus-custom pattern used throughout the platform:

System entries ensure a consistent baseline across all auctions. You can supplement them with custom entries specific to your operation.

Roster Members

Roster members are non-authenticated team members tracked by name only. They are useful for:
  • Contractors or temporary workers who don’t need app access
  • Staff who only need to be tracked for job assignment purposes
  • Maintaining a complete staffing picture without requiring everyone to have an account
Roster members appear on the Roster tab of the Members page and can receive job assignments just like authenticated members.

Creating a Custom Job

Click Add Job

Click the Add Job button in the Jobs section

Enter Details

Provide a name, optional description, and optional activity rate (cars/hr/person)

Save

Click Create to add the custom job

Editing a Custom Job

Find Custom Job

Locate the job in the “Custom Jobs” section

Open Menu

Click the (more options) button on the right

Select Edit

Choose Edit from the dropdown menu

Update Details

Modify the name, description, activity rate, or linked abilities

Click Save Changes to apply updates

Managing Job Abilities

When editing a job, you can link abilities to it using the abilities manager:
  • Add abilities — Use the combobox to search and select abilities from the catalog
  • Remove abilities — Click the X on any ability badge to unlink it
  • Changes are saved immediately
Linking abilities to a job makes them available as toggleable options when assigning that job to team members.

Deleting a Custom Job

Jobs that are currently assigned to team members cannot be deleted. Remove all assignments first, then delete the job.

Editing and Deleting Abilities

  • Edit — Click the menu on any custom ability row to update its name or description
  • Delete — Abilities that are currently assigned to team members (via job assignments) cannot be deleted. The delete dialog shows the usage count

Accessing the Roster

Open Members Page

Adding a Roster Member

Click Add Roster Member

Click the Add Roster Member button

Enter Name

Provide the team member’s full name

Add Notes (Optional)

Enter any notes about this team member

Save

Click Add Member to create the roster entry

Editing a Roster Member

You can update the name, notes, and active/inactive status of any roster member:

Choose Edit from the dropdown

Update Details

Modify the name, notes, or toggle the active status

Click Save Changes
Inactive roster members are hidden from the default roster view but their job assignment data is preserved. Use the status filter to view inactive members.

Deleting a Roster Member

Open Menu

Click the button on the roster member row

Select Delete

Choose Delete from the dropdown

Confirm

Review the warning and click Delete
Deleting a roster member also removes all of their job assignments. This cannot be undone.

Viewing the Jobs Matrix

The Jobs Matrix tab on the Members page shows a cross-reference grid of every team member (both authenticated and roster) against every defined job.

Read the Grid

Each row is a team member and each column is a job. A check mark indicates the member is assigned to that job. Hover over a check mark to see which abilities are enabled for that assignment.
  • Search — Use the search field to filter members by name
  • Member type — A badge next to each name shows whether they are an authenticated Member or a Roster member
  • Summary — The count above the table shows the total number of assignments across all members
The Jobs Matrix is a read-only overview. To add or remove job assignments, use the Assign Jobs action from the member’s row menu on the Members or Roster tab.

Assigning Jobs to Team Members

You can assign jobs to both authenticated members and roster members from their respective tables on the Members page.

Find the Member

Navigate to the Members tab (for authenticated members) or Roster tab (for roster members)

Use the search field to find a job, then click to assign it

Click ability badges to enable or disable specific abilities for this assignment

Managing Abilities on an Assignment

Each job assignment shows the abilities linked to that job as toggleable badges:
  • Filled badge — Ability is signed off for this member
  • Outline badge (dimmed) — Ability is available but not yet signed off
Click any ability badge to toggle it on or off. Changes are saved immediately.

Ability Sign-Off Tracking

When a manager, admin, or owner enables an ability badge for a team member, the system automatically records:
  • Who signed off (the current user’s name)
  • When the sign-off occurred (timestamp)
Hover over any signed-off ability badge to see a tooltip displaying the signer’s name and date (e.g., “Signed off by Jane Smith on Jan 15, 2026”). This creates an audit trail for qualification decisions.
If a signer’s account is later removed, the badge tooltip will display “Removed admin” to indicate the sign-off record exists but the signer is no longer in the system.

Qualification Percentages

Each job assignment displays a qualification percentage based on how many of the job’s linked abilities have been signed off: Qualification % = (Signed-off abilities / Total job abilities) x 100 This percentage appears in several places across the admin UI:
  • Members & Roster tables — Color-coded percentage next to each job badge
  • Jobs Matrix — Fraction and percentage in each cell (e.g., “3/5 (60%)”)
  • Assign Jobs dialog — Summary line per job (e.g., “2/4 (50%)”)
Color thresholds help you quickly identify qualification levels:

If a job has no linked abilities, the qualification percentage is not displayed. Link abilities to jobs in Settings > Jobs & Abilities to enable qualification tracking.

Removing a Job Assignment

Click the trash icon next to any assigned job to remove it. The member will no longer be associated with that job.

Best Practices

Review the pre-defined system jobs and abilities before creating custom ones. They cover common auction roles and can save setup time.
Add temporary or contract workers as roster members rather than creating full accounts. This keeps your staffing picture complete without cluttering the authenticated member list.
Configure activity rates on jobs to enable staffing calculations. Rates represent how many cars one person can process per hour for that job.
Periodically review job assignments to ensure they reflect current team capabilities. Remove outdated assignments and add new ones as team members develop skills.

Troubleshooting

Cause: The job or ability is currently assigned to one or more team members.Solution:
  1. Open the delete dialog to see the usage count
  2. Use the Assign Jobs dialog on affected members to remove the assignment
  3. Once all assignments are removed, delete the job or ability
Cause: The member may be marked as inactive.Solution:
  1. Change the status filter on the Roster tab from Active to All
  2. Find the member and edit them to set Active back to on
Cause: No abilities have been linked to that job in the catalog.Solution:
  1. Go to Settings > Jobs & Abilities
  2. Edit the job and use the abilities manager to link relevant abilities
  3. The linked abilities will then appear as toggleable badges in the Assign Jobs dialog
