Overview

Submission types define the categories of vehicles that can be counted in lot submissions. They are essential for:
  • Categorizing vehicle status — Track vehicles by their current workflow stage
  • Enabling backlog calculations — Configure activity rates for staffing analysis
  • Customizing per-location — Enable different types for different lots

System Types

System types are pre-defined submission categories available to all auctions. These provide a standardized set of common vehicle statuses.

System Type Characteristics

System type names are read-only to ensure consistency across all auctions. However, you can configure the activity rate for each system type to enable backlog calculations.
  • Cannot be renamed — Names are standardized across all auctions
  • Cannot be deleted — Always available for use
  • Activity rate configurable — Set cars/hr/person for backlog calculations
  • Shared globally — Same types available to all auctions

Activity Rates

Activity rates are critical for backlog hour calculations. They define how many cars one person can process per hour for each submission type.

Understanding Activity Rates

The backlog formula uses activity rates:

Setting Activity Rates for System Types

Navigate to Submission Types

Locate the system type in the “System Types” section

Click Set Rate

Click the Set Rate button on the right side of the type row

Enter Activity Rate

Enter the number of cars per hour per person (e.g., 10.0)

Click Save to apply the activity rate

Activity Rate Guidelines

Typical range: 8-15 cars/hr/personFactors affecting rate:

  • Writer experience level
  • System/tool efficiency
Typical range: 10-20 cars/hr/personFactors affecting rate:

If no activity rate is set for a submission type, backlog calculations will show as “unconfigured” or display “N/A” in reports. Set activity rates for all types used in your operation to enable full backlog visibility.

Backlog Status Thresholds

Once activity rates are configured, backlog hours are calculated and displayed with status indicators:

Custom Types

Create auction-specific submission types to track categories unique to your operation.

Creating a Custom Type

Click Add Type

Click the Add Type button at the top of the Submission Types page

Enter Name

Provide a descriptive name for the submission type (2-100 characters)

Set Activity Rate (Optional)

Enter an activity rate for backlog calculations

Save

Click Save to create the custom type

Editing Custom Types

Find Custom Type

Locate the type in the “Custom Types” section

Open Menu

Click the (more options) button on the right

Select Edit

Choose Edit from the dropdown menu

Make Changes

Update the name and/or activity rate

Save

Click Save Changes to apply updates

Deleting Custom Types

Deleting a custom type is permanent. Historical submissions using this type will still exist but the type name may show as “Unknown” in reports.

Locate the type in the “Custom Types” section

Choose Delete from the dropdown menu

Confirm the deletion in the dialog

Location Configuration

Control which submission types are available at each location and their display order. Per-location configuration is managed from SettingsLocation Configs (admin/owner only).

Click on the location you want to configure

Find Submission Types Card

Locate the Submission Types card on the configuration page

Toggle types between Enabled and Disabled sections

Drag and drop to set the display order for mobile users

Drag and Drop Ordering

The order in which types appear in the mobile app is configurable:
  1. Drag types to reorder them within the Enabled section
  2. Top types appear first in the mobile submission form
  3. Order is per-location — different locations can have different orders
  4. Frequently used types should be placed at the top
Consider placing the most commonly used submission types at the top of the list to speed up data entry for your team members.

Location Configuration

  • Enable only relevant types — Too many types slows down data entry

  • Review periodically — Remove unused types from locations
  • Standardize where possible — Use same types across similar locations

Troubleshooting

Cause: Activity rate not set for the submission typeSolution:
  1. Go to SettingsSubmission Types
  2. Find the type showing N/A
  3. Click Set Rate (system types) or Edit (custom types)
  4. Enter an activity rate (cars/hr/person)
  5. Save the changes
Backlog will calculate on the next submission.
Expected behavior: System type names are read-only to maintain consistency across auctions.What you can do:
  • Set or update the activity rate
  • Create a custom type with your preferred name
  • Disable the system type at specific locations
Cause: Type not enabled for the locationSolution:
  1. Go to SettingsLocation Configs → select the location
  2. Find the type in the Disabled section of the Submission Types card
  3. Drag it to the Enabled section
  4. Changes apply immediately
Check these factors:
  1. Activity rate — Is it realistic for the work type?
  2. Head count — Was it entered in the submission?
  3. Car count — Is it accurate?
Formula verification:
Backlog = Cars ÷ (People × Rate)
Example: 100 cars ÷ (2 people × 10 rate) = 5 hours
