Overview
Submission types define the categories of vehicles that can be counted in lot submissions. They are essential for:- Categorizing vehicle status — Track vehicles by their current workflow stage
- Enabling backlog calculations — Configure activity rates for staffing analysis
- Customizing per-location — Enable different types for different lots
System Types
Pre-defined types available to all auctions (read-only names)
Custom Types
Auction-specific types you create and manage
Activity Rates
Cars per hour per person for backlog calculations
Location Config
Enable/disable types per location with drag-drop ordering

System Types
System types are pre-defined submission categories available to all auctions. These provide a standardized set of common vehicle statuses.Available System Types
| Type Name | Description |
|---|---|
| Waiting on Stock in | Vehicles waiting to be processed into inventory |
| Waiting on CR | Vehicles awaiting Condition Report completion |
| Waiting on CERT - Mechanical check | Vehicles needing mechanical certification |
| Waiting to cut keys | Vehicles needing key cutting |
| Waiting on keys | Vehicles awaiting key arrival |
| Waiting on diagnosis | Vehicles needing diagnostic work |
| Waiting to be towed away | Vehicles scheduled for towing |
| Waiting to be moved to inventory | Vehicles ready for inventory lot |
| Waiting to be moved to detail | Vehicles ready for detailing |
| Waiting to be moved to sale | Vehicles ready for sale lot |
System Type Characteristics
System type names are read-only to ensure consistency across all auctions. However, you can configure the activity rate for each system type to enable backlog calculations.
- Cannot be renamed — Names are standardized across all auctions
- Cannot be deleted — Always available for use
- Activity rate configurable — Set cars/hr/person for backlog calculations
- Shared globally — Same types available to all auctions
Activity Rates
Activity rates are critical for backlog hour calculations. They define how many cars one person can process per hour for each submission type.Understanding Activity Rates
The backlog formula uses activity rates:| Component | Description | Example |
|---|---|---|
| Car Count | Vehicles in the lot (from submission) | 100 cars |
| Head Count | People currently working (from submission) | 5 people |
| Activity Rate | Cars/hr/person (configured here) | 10 cars/hr/person |
| Backlog Hours | Estimated hours to clear backlog | 2 hours |
Setting Activity Rates for System Types
Activity Rate Guidelines
Condition Reports (CR)
Condition Reports (CR)
Typical range: 8-15 cars/hr/personFactors affecting rate:
- Vehicle condition complexity
- CR detail requirements
- Writer experience level
- System/tool efficiency
Stock-In Processing
Stock-In Processing
Typical range: 10-20 cars/hr/personFactors affecting rate:
- Paperwork requirements
- System entry complexity
- Vehicle inspection depth
Detail Work
Detail Work
Typical range: 2-5 cars/hr/personFactors affecting rate:
- Detail level (basic vs. full)
- Vehicle size and condition
- Equipment availability
Vehicle Movement
Vehicle Movement
Typical range: 15-30 cars/hr/personFactors affecting rate:
- Lot layout and distances
- Traffic congestion
- Key availability
Backlog Status Thresholds
Once activity rates are configured, backlog hours are calculated and displayed with status indicators:| Status | Backlog Hours | Meaning |
|---|---|---|
| Green | ≤ 1 hour | Workload is manageable |
| Yellow | 1-2 hours | Attention may be needed |
| Red | > 2 hours | Staffing action required |
- Admin dashboard backlog card
- Submissions table backlog column
- Mobile app home screen
- Per-location indicators
Custom Types
Create auction-specific submission types to track categories unique to your operation.Creating a Custom Type
Editing Custom Types
Deleting Custom Types
Location Configuration
Control which submission types are available at each location and their display order. Per-location configuration is managed from Settings → Location Configs (admin/owner only).Enabling Types per Location
Drag and Drop Ordering
The order in which types appear in the mobile app is configurable:- Drag types to reorder them within the Enabled section
- Top types appear first in the mobile submission form
- Order is per-location — different locations can have different orders
- Frequently used types should be placed at the top
Best Practices
Activity Rate Configuration
Measure First
Time actual work to determine realistic rates rather than guessing
Review Regularly
Update rates as processes improve or conditions change
Be Consistent
Use the same methodology when measuring different types
Account for Variability
Consider using conservative (lower) rates to account for interruptions
Custom Type Naming
| Do | Don’t |
|---|---|
| Use clear, descriptive names | Use abbreviations only staff know |
| Include the vehicle status | Use generic names like “Other” |
| Keep names under 50 characters | Create duplicate-sounding types |
| Match terminology used on-site | Change names frequently |
Location Configuration
- Enable only relevant types — Too many types slows down data entry
- Order by frequency — Most common types at the top
- Review periodically — Remove unused types from locations
- Standardize where possible — Use same types across similar locations
Troubleshooting
Backlog shows N/A or unconfigured
Backlog shows N/A or unconfigured
Cause: Activity rate not set for the submission typeSolution:
- Go to Settings → Submission Types
- Find the type showing N/A
- Click Set Rate (system types) or Edit (custom types)
- Enter an activity rate (cars/hr/person)
- Save the changes
Can't edit system type name
Can't edit system type name
Expected behavior: System type names are read-only to maintain consistency across auctions. What you can do:
- Set or update the activity rate
- Create a custom type with your preferred name
- Disable the system type at specific locations
Type not appearing in mobile app
Type not appearing in mobile app
Cause: Type not enabled for the locationSolution:
- Go to Settings → Location Configs → select the location
- Find the type in the Disabled section of the Submission Types card
- Drag it to the Enabled section
- Changes apply immediately
Backlog calculation seems wrong
Backlog calculation seems wrong
Check these factors:Example: 100 cars ÷ (2 people × 10 rate) = 5 hours
- Activity rate — Is it realistic for the work type?
- Head count — Was it entered in the submission?
- Car count — Is it accurate?
